Keep website content accessible with a small, usable publishing workflow for editors, because every new article, image, download, and promotion can make the site harder to use.

## How should editors structure a page?

A site can pass an accessibility review and still slip after months of new material. Editors influence the reading order, link clarity, image alternatives, and media access every week, so they need a workflow they will use, not a one-time checklist they never see again.

Start with a clear page title and use headings to describe real sections. Do not choose a heading level because it looks smaller. W3C explains that [headings communicate structure](https://www.w3.org/WAI/tutorials/page-structure/headings/) and support in-page navigation. In the editor, preview the page as a sequence of headings. Can a reader understand the argument without reading every paragraph?

Write links that describe their destination. “See our appointment booking service” is more useful than “click here.” Avoid several nearby links with identical vague labels that lead to different pages. Check that the destination still exists and that the link text makes sense out of context.

## What should an image communicate?

Decide whether each image conveys information, performs a function, repeats adjacent text, or is purely decorative. The answer changes the alternative text. W3C’s [alt decision tree](https://www.w3.org/WAI/tutorials/images/decision-tree/) helps editors make that choice. A product image may need a concise description of the feature a buyer cannot otherwise see. A decorative texture may need no spoken description.

Keep essential words outside images. If a campaign graphic contains a deadline or offer term, include that information as real page text. Captions should add context where useful. Do not stuff search keywords into alt text and call it accessibility.

## What about video, audio, and downloads?

Plan captions, transcripts, and accessible document formats before publishing media. Assign an owner for corrections when a transcript is wrong or a PDF cannot be navigated. A video tutorial that contains steps only in speech or on-screen text leaves some visitors without a complete route to the answer.

Test new content on a phone and with keyboard navigation. Expand accordions, open menus, and complete forms. Long titles or unusual content can expose problems a template test with short sample copy did not find. Editors need a clear escalation route when the template prevents them from publishing accessible content.

## Who keeps website content accessible over time?

Create a short pre-publish review for headings, links, images, media alternatives, and form instructions. Give editors examples from the actual site. Schedule deeper checks when templates or interactive components change. Avoid promising that a checklist alone establishes legal compliance. Accessibility obligations need the organization’s appropriate professional review and ongoing testing.

Track recurring problems by type. If every editor struggles with the same image field or heading control, improve the content model or training rather than blaming individual authors. The best publishing rule is one the tool makes easy to follow.

## Review one recent page with its editor.

Pick a recently published page and review it with the editor who owns it. Note which problems come from content and which from the template.
