Plan automation failure handling for every step of a website automation, because an automation that quietly drops work creates more risk than a manual process people understand.

## Which step is business critical?

An automated workflow can move a website inquiry into a CRM, send a confirmation, create a task, and update a dashboard. That saves manual steps only when each handoff remains visible and recoverable, so settle the failure plan before switching it on.

Draw the workflow from its trigger to its final business action. Mark the step that must never be lost. For a lead flow, that may be the original inquiry and a clear owner. A follow-up email can wait. For a payment flow, order and payment state must agree before fulfillment. Different consequences require different recovery rules.

Define the source record for each step. If a visitor retries a form because the page was slow, the system should not open several identical opportunities. Give important events a stable identifier and decide how the destination recognizes an already processed request. The visitor should receive a confirmation that matches the actual state.

## How will the system detect trouble?

List likely failures: a missing required field, expired authorization, API limit, network timeout, changed destination field, or unavailable vendor. Decide which errors can be retried automatically and which need a person. Retrying the same invalid value indefinitely is not recovery. It is a way to hide the problem.

Make alerts actionable. An owner should see which workflow failed, when, what record it affected, and where to resume. Keep private customer details out of broad notifications. If the website stores a recoverable submission, document who can reach it and how long it remains under the organization’s approved policy.

## What can a person do while it is down?

Write a manual fallback for the critical path. Can staff retrieve inquiries from the website, confirm a booking in the calendar, or reconcile an order with the payment provider? A fallback should not require an administrator to search raw logs while the customer waits. Identify the person who can authorize a replay or correction.

Test the process by disconnecting a nonproduction destination. Submit a sample record, inspect the alert, restore service, and verify exactly one final record appears. Repeat with a malformed value. The test should reveal whether the workflow recovers, duplicates, or stalls.

## How does automation failure handling stay maintainable?

Record the tool account owner, billing, dependencies, field map, and change triggers. A new CRM stage or form field can alter an automation even when no one edits the automation itself. Put the workflow on a review schedule tied to those changes. Remove steps whose business purpose no longer exists.

Do not measure success only by the number of automated tasks. Measure whether the correct person receives the right information and can respond. A short reliable workflow is more valuable than a chain that looks sophisticated but cannot explain its own failures.

## Ask for an error path and a recovery owner.

Bring one current workflow, its normal record, and its most costly failure into a planning session. Ask for an error path and recovery owner as part of the scope.
