A contact form has two jobs: let a legitimate visitor reach the right person, and help the business handle form spam and personal information responsibly.

## What information do you actually need?

Spam controls, consent language, storage, and validation all shape how a real visitor experiences the form. Choose them as part of the form design, not as separate patches after unwanted submissions appear.

Start with the decision staff must make after reading an inquiry. Name, a reply channel, and a short request may be enough. Ask for industry, location, budget, or timeline only when those answers change routing or preparation. Remove fields no one uses. Fewer unnecessary fields mean less data to store and fewer obstacles for a real visitor.

Explain why a field is required when the reason is not obvious. Label controls clearly and give specific feedback when something needs correction. W3C’s [forms tutorial](https://www.w3.org/WAI/tutorials/forms/) covers labels, instructions, validation, and notifications that help people complete a form with a keyboard or assistive technology.

## How will you slow automated abuse?

Use a layered approach appropriate to the traffic and risk. Server-side validation matters even if the browser checks fields. Rate limiting, a hidden field designed for bots, or a challenge may help, but each control can also block a legitimate inquiry. Test the experience on a phone and with assistive technology before treating a challenge as harmless.

Decide what happens to suspected spam. Does it enter a review queue, disappear, or create an alert? Staff need a way to recover a real message that was classified incorrectly. The form’s success state should not claim delivery if the request was rejected before storage or notification.

## Where does the information go?

Draw the route from browser to website, email, CRM, and any automation service. Record who can access each copy, how long it remains, and what the organization tells visitors about that use. If the form collects sensitive information, the business needs a more specific handling and review process. Do not solve a privacy question by pasting a generic policy onto the page.

Keep marketing consent separate from the request itself. Someone asking for a proposal has not automatically requested a newsletter. Confirm that the form, CRM fields, and email process preserve the choice the visitor made. Have the owner or qualified adviser approve the final notice and consent language for the applicable audience and jurisdictions.

## What happens when delivery fails?

Send a test inquiry through the whole path. Then deliberately test a disconnected email or CRM destination. Can staff still recover the request? Who notices the failure? A form that displays “success” while dropping the message is worse than a visible error with a working alternative contact method.

Review the form after launch with real error and spam patterns, not only the design mockup. Keep the controls proportionate to the problem and check that they do not block the very people the page is meant to help.

## Review the fields, destination, and privacy wording.

Bring your required fields, destination, response owner, and approved privacy language into a form review.
