# Define access rules before the member dashboard

> Plan membership access: who can join, what each member can see, how access changes, and what support must handle before you build a membership website.

A membership site needs clear membership access rules about who can enter, what they can use, and what happens when their status changes.

## Who can become a member?

These rules matter more than the dashboard layout. If access lives in several plugins or spreadsheets with no single owner, members will eventually see the wrong thing or lose access they should have.

Describe every entry route. Can someone buy access, receive an invitation, join through an organization, or request approval? Each route may need a different identity check and welcome message. Decide which information is necessary at registration and what the person can do before their account is confirmed.

Write a small set of member states. For example, invited, active, paused, expired, and removed. Name who changes each state and what access follows. A subscription billing event may update access automatically, but staff may also need a way to correct a failed sync. Keep the account, payment, and content permission records aligned.

## What can each role see and change?

List the protected content and actions. One role may view courses, another may manage a team, and a staff role may review progress. Do not equate “logged in” with permission to see every private item. Define roles around tasks, not job titles that can mean different things across organizations.

Test access from each role, including an expired account. Check direct URLs, downloads, search results, and notifications, not just menu links. A hidden menu item is not an access rule. For a WordPress implementation, the platform’s [roles and capabilities documentation](https://wordpress.org/documentation/article/roles-and-capabilities/) explains the distinction between roles and the permissions they carry.

## What happens when membership access changes?

Plan renewal, cancellation, failed payment, invitation expiration, and account recovery. The public copy should explain the owner-approved terms in plain language. The interface should show the member what they can do next. Staff need a clear way to locate the account and understand the current state without sharing passwords.

Decide whether content remains available after cancellation, whether members can export their own information, and who handles deletion requests. These are business and policy decisions that the website must implement accurately. Do not let a default plugin setting become a promise the owner did not make.

## How will the team operate the system?

Choose one source of truth for membership status. Document account ownership, billing ownership, support contact, backup plan, and the person who updates protected content. Test a new member, a role change, an expired member, and a password reset before launch. Include a safe support path when an automated change fails.

A simple gated resource library may need only a few roles. A team membership with billing, reporting, and private records has a larger operational burden. Keep the build level tied to actual requirements rather than importing features because another portal has them.

## What should you bring to the scoping call?

Bring the membership types, access matrix, payment rules, content inventory, and support workflow. That allows the developer to identify the content model and permission system before layout work begins.
