# Which fields should your contact form ask for?

> Choose contact form fields that support a useful reply without making visitors provide information your team does not need yet.

Ask only for the contact form fields your team needs to give the next useful reply. A contact form starts a conversation, not a full project intake.

## Start with the response workflow.

Too little context can leave the team guessing, and too many required fields ask a new visitor to do planning work they are not ready to do. The right set depends on the action the form promises.

Write down who receives the form and what they do first. If they need to reply by email, an email address and a clear message may be enough to begin. If the visitor requests a callback, a phone number may be relevant. If your team routes inquiries by service type, a small choice can help, but include an option for someone who does not know which service they need.

Do not collect budget, timeline, company size, address, or detailed project files just because a form builder makes those fields easy to add. Ask what decision each field changes. If no one uses the answer before the first conversation, make it optional or remove it. Sensitive information deserves even stronger justification and an appropriate handling process.

## Separate required contact form fields from optional ones.

Mark requirements clearly and explain why a field is needed when the reason is not obvious. The [U.S. Web Design System form guidance](https://designsystem.digital.gov/components/form/) recommends clear labels and identification of required and optional fields. A placeholder inside a field should not be the only instruction, because it disappears as someone types and may not communicate the field’s purpose reliably.

Give people room to explain the problem in their own words. A free-text prompt such as “What are you trying to improve?” can reveal more than a rigid list of services. Keep the prompt specific enough to help, but do not demand a formal brief. You can ask follow-up questions after confirming the inquiry reached the team.

## Make the form usable when something goes wrong.

Plan validation and errors as part of the copy. State what went wrong near the field and how to fix it. Preserve the visitor’s entered information when possible. Include a confirmation that names what happens next without inventing a response guarantee the team cannot meet. Test both valid and invalid submissions, a slow connection, and a failed delivery.

Protect the handoff beyond the page. A success message does not prove the inquiry reached the correct inbox or system. Assign a person to check delivery, understand how spam filtering works, and know what to do when the connection fails. The form’s job ends only when the promised next step can happen.

## Check the form against the page promise.

If the CTA says “Talk to a Specialist,” the form should feel like the start of that conversation. A twenty-field procurement questionnaire would create a mismatch. If the CTA promises a detailed proposal, more project context may be reasonable, but say why the information matters and what the visitor receives after submitting it.

What would you ask someone in the first thirty seconds of a real conversation? Start there. The remaining questions can wait until you have earned the visitor’s time.

## Turn the choice into a working form.

Sketch the desired first reply, then remove fields that do not support it. [Custom quote forms](https://scayverstaging.1wp.site/services/development/custom-quote-forms/) can support more involved requests, while [UI/UX design](https://scayverstaging.1wp.site/services/design/ui-ux-design/) can make the interaction clearer. [Talk to a Specialist](https://scayverstaging.1wp.site/talk-to-a-specialist/) if your current form attracts incomplete inquiries or fails to route them.
